Outreach & Event Coordinator
Position Overview:
The Outreach & Event Coordinator will be responsible for coordinating all aspects of events and being
the first point of contact for SPF members and the public. This role will work closely with the Executive
Director, board members, and volunteers. The ideal candidate has a strong interest in engaging with
farmers and the public at large, prefers working in person in an office rather than remotely, and is
energized about the mission. Work will take place in the office and out in the community, and occasional
evening and weekend work is required for meetings and events. This role provides a unique opportunity
to make a lasting impact in Skagit County’s agricultural future.
Key Responsibilities:
Event Coordination & Facilitation:
• Coordinate all aspects of SPF major and minor events including board meetings, farm tours, the
annual breakfast ("Our Valley, Our Future"), the Harvest Dinner, other program-related events,
etc.
• Event details to be coordinated include, but are not limited to, venue selection and booking,
invitations, RSVPs, food arrangements, schedule, vendors, corporate sponsors, speakers, print
materials, room setup.
Outreach Coordination:
• Staff the office and events.
• Receive and reply to inbound communication (phone, voicemail, email) and respond to
comments and inquiries from online followers promptly and professionally.
• Execute donor/sponsor communications, including thank-you notes, tax acknowledgment
letters, and partner acknowledgments.
• Facilitate outbound communication to members, the public at large, and the press, to market
events, programs, and the organization itself.
• With the Executive Director, coordinate seasonal mailings and the annual publishing schedule for
social media, blog posts, and the website for maximum impact.
• Communicate with web & graphic designer, print house, and other third-party contractors as
needed and/or requested.
General Administrative Support:
• Keep Executive Director and SPF calendars up to date with events.
• Handle office duties such as collecting and opening mail, depositing donations, and updating the
donor database.
• Prepare materials for meetings (copying, collating, etc.)
• Maintain the office in a neat and organized manner.
• Assist with other job duties as assigned, contributing to the team’s overall success.
Job Details:
• Job Type: Full-Time, Non-Exempt (Overtime Eligible)
• Typical Work Hours: Monday through Friday, 8:00 AM - 5:00 PM, with one-hour unpaid lunch
break. Board meetings occur from 5-7:30 pm once per month. Additional occasional evening or
weekend hours required as necessitated by events.

Qualifications:
• Education
o Bachelor’s degree preferred, but not required, or equivalent experience.
• Skills & Experience:
o A connection to Skagit County and/or agriculture preferred but not required.
o Non-profit experience preferred but not required.
o Exceptional verbal and written communication skills.
o Strong organizational and planning abilities.
o Proven experience working productively in a team environment.
o Experience in event planning and public engagement.
o Ability to work under deadlines, prioritize tasks, and take initiative.
o Flexibility to adapt to changing needs.
o Ability to maintain confidentiality and handle sensitive data.
o Experience with Microsoft Office applications.
o Experience with DonorPerfect a plus but not required.
• Additional Requirements:
o Able to provide references upon request.
o Must pass a background check.
o Legally authorized to work in the United States.
